Notion for Organizing My Thoughts

Key Summary

my personal struggle with organizing daily tasks and why carrying a physical mini-notebook ultimately failed my workflow.

I want to share something I learned about a productivity tool that has amplified a good amount of my workflow lately. This tool has been a pretty good friend to me in terms of organizing things.

Now, before I start going into all the details, I just want you to know that I’m a very lazy person in terms of anything related to productive work. Sometimes I come up with a really striking idea, and the next hour, I completely forget about it. See, it’s not a "me" problem, and it's definitely not a problem with my brain or my memory. If you think you’ll just remember something later, then that’s a lie. Humans, on average, are able to hold a single new thought for only a few hours before forgetting about it.

Last month, I was working on a big fun project, but I was so deep into the work that I felt really stressed out organizing all those ‘so many little tasks’. That is when I realized, maybe I need a pen and a mini notebook for organizing those tasks by writing each and every one of ‘em down.

To be frank, even having a notebook wasn’t enough for my workflow. And especially when it came time to juggle a good number of to-do notes in it. At first, I thought taking a mini notebook everywhere I went, even having it beside my pillow at night, would save me from forgetting all of those '3 am ideas’. After just two or three weeks of taking notes in my mini notebook, it got very messy and I had to buy another one.

The crucial part of taking notes and trying to organize daily stuff with hand notebooks is the notebook itself. It lacks the flexibility I expect in terms of writing down different styles of notes. And I was only able to add the task titles in it. To write down the tasks in detail, I had to get to my phone or laptop and continue from there, which is a bummer.

With all those difficulties in organizing my daily workflow in mind, I discovered some note-taking apps like Google Tasks and Todoist. Although I used to put my thoughts randomly on Google Keep and iCloud Notes for years, I never really felt like managing my day-to-day tasks with those apps. After trying out Todoist for a week, I finally settled down with Notion. And man oh man, this is a unique note-taking app I'd never heard of before, with GOAT-level rich features.

PS: This is the first part of 3 issues I will write about my productive workflow. If you haven’t subscribed to The Lazy Founder already, I highly recommend you do so. We’ll be great friends! Talk to you in the next issue :)

Have a great day!
